Existing Firm MSO Transition Playbook
Moving an active law firm onto shared business infrastructure requires a documented, firm-approved sequence. The order and scope depend on the firm, its vendors, its clients, and applicable law.
Phase 1 — legal and ethics review: qualified counsel reviews the specific structure, agreement, compensation, professional independence, confidentiality, advertising, entity, and franchise questions before operational changes begin.
Phase 2 — current-state inventory: the firm identifies active and archived matters, vendors, data stores, domains, accounts, permissions, people processes, marketing assets, and continuity requirements.
Phase 3 — migration plan and testing: the firm approves data mappings, access controls, backup, rollback, acceptance criteria, communication responsibilities, and migration windows. The provider performs only the agreed administrative work.
Phase 4 — firm-approved go-live: the firm validates data, directs its legal personnel, controls trust activity, approves public communications, and accepts or rejects the cutover against documented criteria.
Phase 5 — stabilization and exit readiness: confirm open issues, access reviews, vendor ownership, data exports, deletion duties, service levels, and a tested exit path.
